How pricing works.

Because two businesses with the same number of trucks, or clients, or files, can have completely different inboxes. One gets forty quote requests a day to one address; another gets the same forty spread across three dispatchers, two of whom answer the same one. The second job is twice the work and the price should say so. A price list would either overcharge the first or underquote the second.

What the wider market publishes, with sources and dates.

Hosting and monitoring, fixes when a supplier changes their email format, small changes as your business changes, and a monthly note on the numbers. It is priced with the build, in writing, and either side can end it on 30 days' notice.

1. Free discovery: one mailbox, one week, one page back.
2. A written quote with the scope in plain words: what it reads, what it drafts, what it chases, who sees what.
3. The build, in shadow mode first, live in five business days from the day access is granted.
4. The care plan, monthly, from the day it goes live.

A one-page scope and a number. The scope names the mailbox, the jobs, the systems, the people who will use it, and what is out of scope. The number is a one-time build fee and a monthly care fee. No hourly meter.

If discovery finds fewer requests than you thought, if the fix is a process change rather than a system, or if your staff cannot describe the job in a sentence yet. We would rather say so than build something that gets switched off.
