What does AI actually do in a trucking company?

The office work. Most of what is written about AI and trucking is about the truck: autonomous rigs, route optimization, fleet software. None of that answers the broker who emailed a rate request at 6:40 a.m. to five carriers and booked the first one to reply. A carrier with 20 to 150 trucks loses money in the office, where three dispatchers share one inbox, two of them answer the same request, one request gets no answer, and the POD that would let accounting invoice is still a photo on a driver's phone. That is what gets automated here.

Which tools does it work beside?

TransPlus for the loads and the billing. Samsara or Motive for the trucks' positions and the ELD records that have been mandatory for federally regulated carriers in Canada since full enforcement on January 1, 2023. Loadlink, DAT and Truckstop for the board alerts that arrive by email. Outlook or Gmail for the inbox itself. QuickBooks or Sage for accounting. WhatsApp for the drivers' photos. The system reads from these and writes drafts and lists; it does not replace any of them.

What does a missed rate request cost?

Count yours; here is the arithmetic. A dispatch office quoting 40 loads a day that misses three of them, a 7.5 per cent miss rate, loses three chances a day. If you win one in four of the requests you do answer, that is three quarters of a load a day. At $350 of margin a load, that is about $260 a day, or roughly $65,000 a year over 250 working days, from requests that were already in the inbox. Will AI replace dispatchers?

No. A dispatcher chooses which driver takes which load, negotiates the rate, and knows which broker pays late. The system does the copying, the chasing and the counting around that: it drafts the reply, merges the duplicate, finds the POD and tells the owner what was missed. A dispatcher with the board in front of them quotes more loads in a day, not fewer, and the office stops depending on whoever happens to remember.

How can I use AI in my trucking business?

Start with the inbox, because that is where the money arrives. Measure a week: how many rate requests came in, how many got a reply, how long it took. Automate that one job in shadow mode, where the system drafts and a dispatcher sends. Then add the paperwork chase, then the owner's morning report, then "where is my load?" by phone. Each step is quoted on its own; nothing is bought as a bundle.

What it will not do

It will not dispatch a load, rate a lane you have never run, negotiate with a broker, or talk to a driver on your behalf. It is not an ELD, not a TMS and not a load board. It will not send a rate confirmation or an invoice until a person has switched that on for that kind of email, and it will not read any mailbox you did not name.
