Apna Automation is an AI automation agency in Canada that automates the office work of owner-run businesses in any province: the shared inbox, quote requests, invoices and the paperwork behind them, follow-ups, bookings and the phone. The work is delivered remotely inside the Microsoft 365 or Google Workspace you already pay for, so your data stays in your own tenant under Canada's privacy law and you can revoke our access in a click. Discovery is free, every build is quoted after it, and the first automation is live in five business days from the day access is granted.

Does an AI automation agency need to be in your city?

No. Everything we build runs inside your own email tenant, and a tenant is in the same place from Victoria or St. John's. Your Microsoft 365 or Google Workspace administrator grants access to one named mailbox; we read a week of what is already in it and send back one page of numbers; the build runs in shadow mode, drafting while your staff send; the calls are on Teams or Meet at a time that suits your clock, from 8 a.m. Pacific to 6 p.m. Atlantic. The only thing that changes outside the Toronto area is that we are not in the room, and the first meeting is a screen share instead of a chair in your office. A trucking company in Surrey gets the same dispatch inbox build as one in Brampton; the brokers' emails do not know where the office is. Which Canadian businesses is it built for?

Owner-run businesses with roughly two to fifty staff where the money arrives by email or by phone and somebody has to notice it, answer it and type it into something. The jobs are the same from province to province; the words change by industry, and each has its own page: trucking companies, freight brokers and logistics, accounting firms, insurance and mortgage brokers, real estate teams, construction and trades, dental and health clinics, immigration consultants and lawyers. If your industry is not on the list, the services pages describe the jobs in neutral words.

What stays the same across Canada, and what changes?

Where does your data live?

In your tenant, not ours. The mailbox stays in your Microsoft 365 or Google Workspace; we read it through an access your administrator grants to that one address and can remove in a click, and every read is logged on your side. Nothing is copied into an Apna system to sit there; drafts are written back into your own inbox. The part that leaves the tenant is the reading and drafting itself, done by a language model on a business or API plan whose default is no training on your data; the exchange is the text of the email and the draft, not your files. If a client contract or a regulator requires the model to run in Canada, that is available through a Canadian region of a cloud provider and the quote says what it adds. Under PIPEDA you remain the organization responsible for the personal information in that inbox, as you are today, and the written scope names the mailbox, what is read, what is written and who can see it. Quebec, Alberta and British Columbia have their own private-sector privacy laws, and Ontario's health privacy law applies to clinics; the scope says which one applies and what it means for consent and incident reporting. Do you work in French?

For your customers, yes; for our own meetings, in English. A customer who writes in French gets a draft in French, and the voice agent answers in French and switches when the caller does. The morning page, the scope and the calls with you are in English. If your office needs the scope in French, say so in discovery and we will have it translated before you sign.

How does a remote build run, week by week?

  1. Day 0: your administrator grants access to one mailbox, with a screen share if that helps. Nothing is installed.
  2. Week 1: free discovery. We read the week of email already in the mailbox and send back one page: requests in, answered, missed, how fast, what it cost.
  3. The quote: a one-page scope in plain words and a number, a build fee and a monthly care fee, in Canadian dollars plus GST or HST.
  4. The build: live in five business days from the day access is granted, in shadow mode, with your staff on the send button.
  5. The month after: you read the drafts, we correct the rules, and one message type at a time goes automatic when you say so.
  6. The care plan: monitoring, fixes when a supplier changes a format, small changes as your business changes, and a monthly note on the numbers; either side can end it on 30 days' notice.

How does pricing work across Canada?

The same way it works in Toronto, with no travel on the bill. Discovery is free. Every build is quoted after it, from how many mailboxes and systems are connected, how much of the work needs reading or writing rather than rules, who uses it, and who keeps it running; the quote is a build fee and a monthly care fee in Canadian dollars plus GST or HST at your province's rate. What we do not do

We do not come on site outside the Toronto area; the work is remote by design, and a screen share does what a visit would. We are not an IT provider: we do not sell licences, migrate mailboxes or manage your devices, and if you have no administrator your IT provider grants the access, which is why we have a partner programme. We do not move your data into our systems to work on it. We do not automate a job nobody in your office can describe in a sentence; discovery writes the sentence first. And we are built for owner-run businesses, not for a company with two hundred staff and a procurement department; there are agencies for that, and we will say so.
