Dental and health clinics

The front desk, answered while the front desk is busy.

AI for dental offices and health clinics, as Apna Automation builds it, takes the office work that interrupts patient care: the phone answered when the desk is with a patient, appointments booked and reminded, intake and consent forms sent and chased before the visit, recalls that actually go out, insurance and billing questions answered in drafts, and a review request after a good visit. It runs inside the practice software and the Microsoft 365 or Google Workspace you already have, under a written agreement that meets Ontario's health privacy law. Live in five business days from the day access is granted.

What does a clinic lose at the front desk?

The call that rings while the person at the desk is checking a patient out, the new-patient enquiry that goes to voicemail at 5:05 p.m., the recall list that nobody got to this month, the intake form the patient was supposed to fill in before the visit and did not, the no-show that an earlier reminder would have caught. None of it is clinical. All of it lands on the one or two people at the desk, who are also the people the patients in front of them need.

What happens to each call, form and reminder?

How does this fit Ontario's health privacy law?

Under PHIPA, your clinic is the custodian of patient information and a service provider that handles it on your behalf is your agent, which needs a written agreement that says what we may do and may not do. We sign one before access is granted. Patient information stays in your practice software and your own Microsoft 365 or Google Workspace; the system reads what it needs to book, remind and chase, writes back to your systems, keeps nothing of its own, and is never used to train anything. Your IT can revoke access in one click. The clinical record is never drafted, summarized or sent by the system.

Which practice software does it work beside?

Dentrix, Tracker, ClearDent and Open Dental for dental; Jane App for physiotherapy, chiropractic and massage clinics; Boulevard or Vagaro for medical aesthetics; your existing phone system, forwarded on the rules you set. Where the software has a connection or an export, the system reads the schedule and writes bookings; where it does not, the voice agent books into a calendar the desk mirrors in the morning, and we say which it is in the quote.

What does a no-show cost?

Count it. A clinic with 40 appointments a day and a 10 per cent no-show rate loses four slots a day. If a slot is worth $150 of revenue and a second reminder two days out fills one of the four, that is $150 a day, or about $37,000 a year over 250 clinic days, from a message that sends itself. Discovery counts your no-shows, your missed calls and your unfilled recalls in a week of your own records.

What it will not do

It will not give clinical advice or triage symptoms; a caller who describes a problem gets a message to the clinician and, if you want, an urgent flag. It will not touch the clinical record. It will not send recalls or review requests to anyone you have excluded, and it will not keep patient information anywhere but your own systems.
