What does it answer?

How does it know the answer to a status question?

From the system you already keep the answer in. If your job list, tracking or booking system has an export or a connection, the agent reads the status and says it. If it does not, the agent takes the reference and the caller's number, creates the card, and a person calls back with the answer. We tell you in the quote which of the two your systems allow, before anything is built.

Which languages does it speak?

English, French, Punjabi and Hindi, and it switches when the caller does. Other languages are added on request and confirmed in the quote. Every call is summarized in English for your staff whatever language it was held in, so the board reads the same for everyone.

When does it hand off to a person?

When the caller asks for one, when the caller uses words you have marked as urgent, when the call is about something you told it not to handle, and when it is unsure. The transfer is warm: the person picks up with a one-line summary of who is calling and why, so the caller does not repeat themselves. If nobody is free, the agent takes a message and the card carries the callback number.

Can it make calls too?

Yes, where you have a reason to call. Appointment reminders the day before. The third chase for a missing document, which is where email stops working and a phone call starts. A callback to a web lead within a minute of the form arriving. A reminder about an invoice that is overdue, in the wording you approve. Outbound calls go only to people who have a relationship with your business, identify your business at the start, and stop when the person asks.

What does every call leave behind?

A transcript, a one-paragraph summary, a card in the same queue as your email, and an update to the CRM or job record if you have one connected. A recording if you choose to keep them. Callers are told at the start that an assistant is answering and that the call may be recorded, which is what Canadian privacy law expects of a business, and the agent says it is an assistant whenever anyone asks.

Does it sound like a robot?

It sounds like a calm person reading from the right screen, and it says what it is. It does not pretend to be a member of staff. Most callers want the answer, the booking or the transfer, and they get it in the first minute instead of leaving a voicemail nobody plays until the afternoon.

What does a missed call cost?

Count it. Suppose 30 calls a day reach your office and one in five goes to voicemail: six calls. If half of those never call back, three are gone. If one in three of them was a job worth $400 of margin, that is $400 a day, or about $100,000 a year over 250 working days, from people who had already dialled your number. What it will not do

It will not pretend to be human. It will not quote a price unless your price sheet is connected and you have allowed it. It will not take card payments over the phone unless that is scoped with a payment provider built for it. It will not give medical, legal or financial advice, and it will not keep a caller on the line who wants a person; it transfers.
