Why does the 9 p.m. lead go to a competitor?
Because the lead is on three agents' websites at once, and the first useful reply wins. A buyer who fills in a form at 9 p.m. is not waiting for the morning; they are scrolling. The agent is at a showing, at dinner, or asleep, and the reply goes out at 11 the next morning, by which time the buyer has booked a showing with someone else. What happens when a lead comes in?
How are showings booked?
The reply carries a link into the agent's own calendar, Google Calendar or Calendly, or into the showing system the brokerage uses where it has a connection. The buyer picks a time; the showing lands in the calendar with the property, the lead's details and the lockbox note; a reminder goes out the day before. If a lead asks for a time by message, the draft offers two open slots.
What about listing paperwork?
A checklist per listing: the listing agreement, the FINTRAC identification record that every real estate transaction in Canada requires, the property disclosure, the photos and the measurements, the condo documents where they apply. Each document is filed to the listing the moment it arrives; what is missing is chased in your words; the file is marked complete before the listing goes live. The team lead sees one list of what is holding each listing.
What do the rules require?
That the brokerage is named on every communication, that the registrant is responsible for what goes out in their name, and that nobody is misled about who they are talking to. RECO's advertising rules put the brokerage name on everything; the system does the same by default and signs every message as the team at the brokerage. Anyone who asks is told a system drafted the message. The registrant reads and sends anything that is advice on price or terms.
Which tools does it work beside?
Follow Up Boss, kvCORE, Zoho or HubSpot for the CRM; Gmail or Outlook for the inbox; Google Calendar or Calendly for bookings; the showing system your board or brokerage uses where it emails notifications; WhatsApp Business for the buyers who message. The system reads from these and writes the lead, the thread and the booking; it does not replace any of them.
What does a slow reply cost a team?
Count it. If 40 leads a month arrive and one in five is lost to a slow first reply, that is eight leads. If one in twenty leads becomes a transaction, those eight were worth about four tenths of a deal a month. At $10,000 of commission a deal, that is about $4,000 a month, or $48,000 a year, from leads the team had already paid for. Your numbers will differ; discovery counts a week of yours.
What it will not do
It will not negotiate, advise on price or terms, or pretend to be the agent. It will not message anyone who did not enquire, and it stops the moment someone says so. It will not send a listing live or sign anything, and it will not book a showing with a lead an agent has marked as not a fit.
