Which AI tools should a small office pay for first?
The ones that need nothing new to learn, in this order. Prices are as each vendor's page showed them on October 9, 2026; "CAD" means the page labelled Canadian dollars, "USD" means it bills in US dollars, and "unlabelled" means the page showed a bare dollar sign. Introductory discounts for new customers are left out; the list price is what you pay after them.
What is already included in the office suite?
More than most owners have switched on. Microsoft 365 Business Basic at CAD $9.50 a user a month includes Copilot Chat at no extra cost for work accounts, with web grounding, writing help and data analysis; Business Standard with Copilot bundles the full Copilot at CAD $31.90 and Business Premium with Copilot at CAD $43.40; Teams Premium adds AI meeting recaps for CAD $13.60 a user without a Copilot licence. Google Workspace Business Starter at CA$9.20 puts Gemini in Gmail; Business Standard at CA$18.40 adds it to Docs, Sheets, Slides and Meet with note-taking, and Business Plus is CA$28.70. Zoom Pro at CA$19.16 a user a month on an annual plan includes unlimited AI meeting summaries. For a five-person office, the Microsoft route is about CAD $47.50 a month before any add-on; the Google route about CA$46 for Starter or CA$92 for Standard. Switch these on before buying anything with "AI" in the name.
Which assistant should the team use for client work?
A business plan with a no-training default, never a consumer plan. ChatGPT Business is CA$27 a user a month billed yearly for two or more users, or CA$34 monthly, and OpenAI states it does not train on Business data by default; the consumer plans (Free CA$0, Go CA$11, Plus CA$25, Pro from CA$136) use content for training unless you opt out. Claude Team is shown to a Canadian visitor at $28 a seat billed yearly or $35 monthly, currency unlabelled, with a two-seat minimum, and Anthropic states no training on commercial data by default. Copilot Business is CAD $24.43 on the promotion and CAD $28.50 after, and Microsoft states prompts, responses and data reached through Microsoft Graph are not used to train its models. Where the data lives differs: Microsoft lists Canada (Toronto and Quebec City) as a standard geography for Microsoft 365 data at rest, while Copilot queries may be processed in the US, Europe or elsewhere; OpenAI offers Canadian residency only to Enterprise, education and API customers, not Business; Google Workspace data regions are the US or Europe; Anthropic stores claude.ai data in the US and offers Canada only through the cloud API routes. If a client contract or a regulator requires data in Canada, Microsoft 365 is the one with a published answer.
What takes the meeting notes?
A free tool, to start. Fathom's free plan records and summarizes without a limit; Fireflies is free with limited summaries and US$10 a seat a month billed yearly for the full version; Otter's free plan gives 300 minutes a month and Pro lists at US$16.99 a month. If you already pay for Teams Premium or Zoom Pro, the notes are included. All of these bill in US dollars, so budget the exchange rate.
Which tool connects the others?
Zapier, Make, n8n or Power Automate, chosen by the job. Zapier lists prices in US dollars, from $19.99 a month billed yearly for 750 tasks on Professional and $69 for the Team plan, and can bill in Canadian dollars at the exchange rate on the day. Make's Core plan is $9 a month for 10,000 credits, Pro $16 and Teams $29, currency unlabelled. n8n's cloud Starter is 20 euros a month billed yearly and Pro 50 euros; the self-hosted community edition is free if someone will run a server. Power Automate Premium is CAD $20.40 a user a month and stays inside Microsoft 365. Each of these moves data between systems on a rule; none reads an email and decides what it means, which is where a language model and some code come in. Which to use when is on the workflow page.
What about the money and the paperwork?
The accounting tools have added the AI themselves. QuickBooks Online Canada lists Lite at $20, EasyStart at $30, Plus at $110 and Advanced at $220 a month on a Canadian page that does not label the currency; EasyStart and up include Intuit Intelligence for categorizing transactions and sales tax, Plus adds accounting and customer AI, and Advanced adds workflow automation. Xero Canada lists Starter at $25, Standard at $60 and Premium at $80 a month in Canadian dollars, with Hubdoc capture included on every plan and automatic reconciliation on Standard and Premium. Dext Business is CA$31.50 a month plus GST for 250 documents and five users, with an AI assistant add-on at $15. Wave, a Canadian company, is free on Starter and CA$25 a month on Pro with receipt capture, and does not call any of it AI. Plooto handles payables and receivables from $9 a month for accountants' clients and from $32 a month otherwise, currency unlabelled.
What answers the phone and books the job?
For a small office, a phone system with an agent built in. Quo, the new name of OpenPhone, lists Starter at US$15 a user a month billed yearly with calling to Canadian and US numbers and its Sona agent included for 10 calls a month; more calls cost US$25 for 40, $49 for 100, $99 for 250 and $199 for 600 a month. Jobber, a Canadian company that bills in US dollars, lists Core at $29 a month on an annual plan and an add-on at $29 a month that answers calls and texts after hours. RingCentral's Canadian page lists Core at $30 a user a month paid yearly, currency unlabelled, with an add-on that answers and routes calls from $55. Calendly is free for one booking page and US$10 a seat a month on Standard. If you want an agent that knows your own records, answers in Punjabi or Hindi and books into your calendar, the platforms underneath are Retell at US$0.055 a minute for the voice engine plus the model, the voice and the line, Vapi at $0.05 a minute plus the same, and Bland at $0.14 a minute all-in on its Start plan; someone has to build the agent on top. ServiceTitan, Podium, Birdeye and Dialpad publish no price, so they are not ranked here.
What writes and designs?
Grammarly Pro at US$12 a month for the writing; Canva Pro at CAD $142 a year for one person or Business at CAD $260 a person for the design, with the AI tools on a shared allowance; Adobe Acrobat Studio at CAD $32.99 a month if you want Acrobat's AI Assistant, since Standard at CAD $19.99 and Pro at CAD $25.99 do not include it; Notion Business at US$20 a member for a wiki with AI meeting notes. The Copilot in Word and the Gemini in Docs above do most of this for most offices.
Which tools did we leave out, and why?
Four kinds. Tools that have closed: Relay.app shut down in September 2026 and deleted every account, so any list that still recommends it is out of date. Tools with no published price: ServiceTitan, Podium, Birdeye and Dialpad's agent plans all say "talk to sales", which is fine for a 50-technician company and a poor fit for a 5-person one. Tools for a job most small offices do not have: Tidio and Intercom's Fin, at US$0.99 an outcome, are for websites with enough chat to need them. And consumer plans for client data, because the consumer plans of ChatGPT train on content unless you opt out and none of the consumer plans comes with an admin console or a signed agreement. One more thing a list like this cannot fix: an AI tool is not an automation. None of the tools above watches your inbox, keeps a checklist or chases a document. They answer when asked. Making them act on their own is a build, which is what we do.
How many Canadian small businesses use these?
More every quarter, and still a minority. Statistics Canada found 19.2 per cent of businesses using AI to produce goods or deliver services in the second quarter of 2026, up from 12.2 per cent a year earlier and 6.1 per cent in 2024; businesses with one to four employees were at 19.9 per cent. A quarter of businesses, 25.2 per cent, planned to use AI in the following twelve months as of the third quarter of 2026, and of those with no plans, 79.1 per cent said AI was not relevant to them. The Canadian Federation of Independent Business reported in April 2026 that 45 per cent of its members use generative AI to complete tasks, 39 per cent among firms with fewer than five employees, and in September 2025 that members using it saved about 1.08 hours a day.
