Is ChatGPT good for accounting work?
Good at words, weak at facts. It drafts a clear email, explains a concept in plain language and turns rough notes into a tidy list in seconds. It is weak at what accounting depends on: exact numbers, current rules and sources. It can state last year's limit with full confidence, or point to a CRA page that does not say what it claims. Use it as a drafting tool, never as a reference.
What can accountants use ChatGPT for?
- Client emails
A plain email or reminder, with no client details in it.
A document request list for a type of client, such as a landlord with one rental.
An engagement-letter reminder that is polite but firm.
A concept explained in plain words for a client letter you then check.
What a type of CRA notice means, in general terms, without the client's notice pasted in.
- Spreadsheets
An Excel formula you describe in words.
Tidying an export, dates and column names, after names and account numbers are removed.
- The practice
A summary of a public CRA page you have open beside it.
Your notes turned into a checklist template.
Quiz questions to train a new staff member on a process.
Which ChatGPT prompts work without client data?
Six ChatGPT prompts for accountants that need no client in them. The brackets take a type, a year or your own text, never a client's details.
- Document request list
Write a friendly email to a [TYPE OF CLIENT, e.g. landlord with one rental property] listing the documents we need for their [YEAR] personal tax return. Plain words, short bullets, and ask them to reply by [DATE]. Do not give any tax advice.
- Engagement letter reminder
Rewrite this reminder so it is polite but clear that we cannot start until the engagement letter is signed: [YOUR OWN TEXT, NO NAMES]
- A concept in plain words
Explain to a small-business owner, in under 150 words and without jargon, what [CONCEPT, e.g. quarterly tax instalments] means. I will check it against CRA's own page before I use it.
- Excel formula
In Excel, column A has invoice dates and column B has amounts. Write a formula for column C that shows the days since each invoice date, and one formula for the total of amounts more than 60 days old.
- Checklist from notes
Turn these notes into a step-by-step month-end checklist with a tick box for each step: [YOUR NOTES, NO CLIENT DETAILS]
- Training quiz
Write five multiple-choice questions that check whether a new staff member understands our process for [PROCESS, e.g. receiving and logging client documents]. Here is the process: [YOUR TEXT]
How do you strip client details before you paste?
Email Sample Client (SIN 000 000 000) that the 2025 rental statement shows $18,400 of rent from 12 Example Street, and that we still need the property tax bill for roll number 0000-000.
Email [CLIENT] that the [YEAR] rental statement shows [AMOUNT] of rent from [PROPERTY], and that we still need the property tax bill.
- Swap names, SINs, business and account numbers, and addresses for placeholders.
- Swap exact amounts for [AMOUNT] unless the task needs the number.
- Put the real details back yourself, in your own email.
If the task cannot be done without the real numbers, it does not belong in a free tool.
Why does every answer need checking?
Confident wrong answers. It sounds just as sure when it is wrong.
Out-of-date rules. Rates, limits and deadlines change every year, and it may have learned an older one.
Made-up sources. A section number or a CRA page that does not exist, or says something else.
Arithmetic. Totals and percentages can be off. Recalculate anything you use.
Check against CRA's own pages and your own sources, every time. CPA Ontario says the same.
What did CPA Ontario say about AI?
- "When performing professional services, accountability ultimately rests with CPAs."
- "Every AI-generated output must be thoroughly reviewed, verified, and fully understood before it is used."
CPA Ontario, The Responsible Use of AI in Professional Practice, June 29, 2026.
So are accountants allowed to use AI? Yes, with the accountability staying with the CPA. In practice: AI can draft, but a person checks before anything reaches a client or a return.
What should stay out of free AI tools?
Client names and SINs.
Slips, statements and returns.
Anything you would not email to a stranger.
Free, paid or business plan: what changes for client data?
- Free and personal plans
What you type may be used to improve the models unless you turn that off.
Chats may be kept.
No written agreement with your firm.
- Business plans
Generally not used for training by default.
An administrator controls who uses it.
A written data agreement is usually available.
- Check either way
Where the data is stored and processed.
How long chats are kept.
Whether you can delete them.
What do Canadian privacy rules expect?
Under PIPEDA, Canada's private-sector privacy law, a firm is responsible for the personal information it holds, including information it sends to an outside service to process, and has to use a contract or other means to keep it protected there (Schedule 1, principle 4.1.3). In December 2023 the federal Privacy Commissioner and the provincial and territorial commissioners published principles for generative AI. For prompts, they say to "use anonymized or de-identified information within prompts" where possible. Quebec, Alberta and British Columbia also have their own private-sector privacy laws. Treat any AI service like an outside contractor: on a business plan, bound by a written agreement, and named to you. This is not legal advice.
What should a firm's AI policy cover?
Which tools and plans are allowed.
What may go in, and what never does.
Who checks the output before it reaches a client or a return.
Where client data is processed and how long it is kept.
What clients are told, for example in the engagement letter.
Who owns the policy and reviews it each year.
Where does AI save an accounting practice the most time?
Chasing documents to your checklist.
Getting T183s and engagement letters signed.
Answering "did you file?" from what you recorded.
Keeping every date on one page.
None of it is accounting. All of it lands on the people who should be doing accounting.
What we set up for firms
We build the office side for accounting practices: documents chased to your checklist, T183s and letters chased until signed, calls answered in English, Punjabi, Hindi or French, and every date on one page. You approve the wording that goes to clients, and anything that needs judgement stays a draft for you.
Questions about ChatGPT for accountants
- Can accountants use ChatGPT?
- Yes, for drafting and explaining, with no client details in free versions, and with a person checking the output before it is used.
- Is there a ChatGPT for accounting?
- Not one official version. There are general chat assistants, and there are AI features inside accounting and tax software that work on your own books with your own permissions. For client data, the second kind, or a business plan with a written agreement, is the safer place.
- Which AI is best for accountants?
- The one that fits the job and your privacy rules: AI inside your accounting software for categorizing and matching, a research tool that shows its sources for tax questions, a general assistant for drafting, and an office assistant for chasing documents and answering calls.
- Can I use ChatGPT as my accountant?
- No. It cannot sign a return, deal with CRA for you or answer for a mistake, and it can be wrong about this year's rules. Use it to understand the terms, then see a CPA or a tax preparer.
- Are accountants allowed to use AI?
- Yes. CPA Ontario's June 2026 guidance keeps the accountability with the CPA and expects every AI output to be reviewed, verified and understood before it is used.
- Can accountants use ChatGPT in Canada?
- Yes, within the same limits: no client personal information in a free account, a written agreement for any service that handles it, and every answer checked. PIPEDA, or your province's own privacy law, still applies.
- Can ChatGPT do my bookkeeping?
- Not on its own. It can explain a category or write a spreadsheet formula, but it does not connect to bank feeds or keep a ledger. Bookkeeping AI lives inside accounting software, with a person reviewing the exceptions.
- Is it safe to put client data into ChatGPT?
- Not into a free or personal account. Use a business plan that does not train on your data by default, and keep identifiers like SINs out.
- What did CPA Ontario say about AI?
- In June 2026 it said accountability rests with the CPA, and every AI-generated output must be reviewed, verified and fully understood before it is used.
- Can AI prepare a tax return?
- It can help with parts of the work, but the return, the judgement and the signature stay with the preparer, and every output must be checked.
- Will AI replace accountants?
- No. It removes copying, filing and chasing; the advice and the signature stay with you.
- Can AI answer client calls?
- It can answer logistics, such as whether a document arrived or when a return was filed, from what the firm recorded, and pass anything else to a person.
- Is this professional advice?
- No. Read CPA Ontario's guidance and check your own obligations.
