Dispatchers taking calls and tracking loads in a trucking company office

After-hours dispatch

After-hours dispatch: what it covers, what it costs, and what can be automated

Prashant Chandra · Published

After-hours dispatch is two kinds of night work, and only one of them needs a person awake:

  • Breakdowns, towing and moving a load to another truck: a person, every time
  • Status calls, emails and rate requests: these can be answered without waking anyone
  • Cover costs anything from your own sleep to about $133,000 a year in wages for a person every night

The arithmetic and the sources are below.

What does an after-hours dispatcher actually do?

Night dispatch services and job postings list the same jobs. Sorted by whether someone has to be awake for them:

  • Needs a person
  • Breakdowns. Finding road service, a tow and a repair shop, often at 2 a.m. on a highway shoulder.

  • Re-powering. Moving the load to another truck and driver when one is stuck.

  • Safety and hours calls. A driver who has to stop, a collision, a load that cannot legally make its time.

  • Money decisions. A lumper to approve, a rate to agree on a load booked tonight.

  • Can be answered without one
  • Status calls. "Where is my load?" from brokers and shippers.

  • Status emails. "Please advise" messages that need the truck's position and ETA.

  • Rate requests. Load offers that arrive at 9 p.m. and expire by morning.

  • Messages for the morning. Anything that can wait, taken down with a callback number.

An overnight provider lists its work as load management, tracking, tow dispatch, rescheduling, re-powering, lumper approvals and updating brokers; an after-hours dispatcher posting adds calls from drivers, customers and vendors, and delays, breakdowns and routing problems.

What does a night of calls look like?

  • Sample night
  1. No one woken

6:15 p.m. · Broker calls for the status of a load

  2. No one woken

7:40 p.m. · Rate request by email, Brampton to Chicago

  3. No one woken

    9:05 p.m. · "Please advise status" email

  4. A person, now

1:50 a.m. · Driver: the truck will not start on the 401

  5. A person, at 7 a.m.

    4:30 a.m. · Receiver asks to move tomorrow's appointment

  6. No one woken

    6:40 a.m. · Two more rate requests

In this sample night, one call out of six needed someone awake. Count a week of your own nights before you decide what to pay for.

Which parts can be automated?

  1. Status calls answered. A voice agent picks up, finds the load and gives the truck's position and ETA, in English, Punjabi, Hindi or French.
  2. Status emails answered. Each one gets a reply from the same facts, sent automatically or held for the morning, your choice.
  3. Rate requests handled. Drafted for the first person in, or sent at your rate on the lanes you allow.
  4. Emergencies put through. A driver who says breakdown, accident, or anything else on your list is put straight through to your on-call phone.
  5. One page at 7 a.m. Every call and email from the night: what was answered, what was put through, what is waiting for you.

When should you hire a night dispatcher anyway?

When breakdowns or re-powers happen most nights, when you run team or expedited freight that moves all night, or when you book loads overnight. Those need a person's judgement, and automation only takes the routine calls off that person's desk. If your trucks run days and park at night, your own phone plus automation is usually enough.

Where does Apna Automation fit?

We build the routine part of the night: the voice agent for status calls, the inbox agent for emails and rate requests, emergencies put through to your phone, and the morning page. We do not arrange tows or move loads. Discovery is free and counts a week of your real night calls and emails; the first automation is live in five business days from the day access is granted. The whole office picture is on the trucking page.

Questions about after-hours dispatch

What is after-hours dispatch?
Someone answering drivers, brokers and shippers when the office is closed: nights, weekends and holidays. It can be your own phone, a dispatcher on staff, an outside service, or automation for the routine part.
How much does a night dispatcher cost in Canada?
Job Bank puts the Toronto-region median for motor vehicle dispatchers at $28.07 an hour (November 2025). Covering every night from 6 p.m. to 7 a.m. is 91 hours a week, about $133,000 a year in wages, and more than two people.
What does an outsourced night dispatch service cost?
Providers price it per week, per dispatcher or as a share of gross, and their terms differ. Ask two or three for a written quote for your hours and lanes.
Can AI handle a breakdown at night?
No. It puts the driver straight through to your on-call phone. Finding road service, a tow or a repair shop needs a person.
Can AI answer broker status calls at night?
Yes, when the load, the truck's position and the delivery window are in systems it can read. It answers the fact and takes a message for anything else.
What happens to rate requests overnight?
They are drafted for the first person in, or sent at your rate on the lanes you allow. A new lane, or a rate outside your limits, waits for a person.
What does a driver hear when they call at night?
The agent answers in the driver's language and asks what is wrong. An emergency goes straight to your on-call phone; anything else is taken down for the morning.
Does a small carrier need after-hours dispatch at all?
If your trucks run days and park at night, often not: an on-call phone for emergencies and automation for the rest is enough. Count a week of your night calls first.
Does it speak Punjabi?
The voice agent speaks Punjabi, Hindi, English and French, and switches when the caller does.
What does Apna Automation charge?
We publish no prices. Discovery is free, the build is quoted after it, then a monthly care plan.
